Group Sales Coordinator

Job Summary

The Group Sales Coordinator is responsible for leads, proposals, site inspections, contracts, and conducts hotel tours for customers interested in our property on behalf of our Sales Team.  The Group Sales Coordinator is responsible to showcase the property and present themselves professionally at all times to help close the business for the hotel.

Main responsibilities:

  • Conduct thorough Inspections before scheduled appointments: Inspect all hotel areas, including guest rooms, public spaces, meeting spaces, restaurants and outdoor spaces checking for cleanliness, maintenance issues, and compliance with brand standards.
  • Evaluate condition of furniture, fixtures, linens, amenities, and décor, noting any wear and tear, damage, or inconsistencies.
  • Coordinate reservations and transportation for guests siting the hotel prior to arrival.
  • Coordinate all amenities, dinner reservations, and off-site activities for guests.
  • Observe staff performance, including guest interactions, service standards, and adherence to operational procedures.
  • Accurately record inspection findings, feedback, and results using detailed checklists and/or reports to hotel management, and sales person assigned.
  • Complete turnover process in contracted groups, and introduce to Groups/Conventions.
  • Complete Envision training.
  • Assign Leads to proper sales member.
  • Prepare Proposals for Sales Team.
  • Prepare Contracts for Sales Team.
  • Ensure all contracted groups, match Envision system before turnover.
  • Perform any other duties, as requested by management.

Minimum requirements of the position:

  • High School diploma or equivalent is required with college course work in related field preferred.
  • Experience in a hotel or a related field is also preferred. 
  • Strong organization and presentation skills.
  • English and Spanish verbal and written.
  • Attention to detail, Planning and organizational ability, Customer skills, as well as Computer skills and general Accounting knowledge.
  • Proficient with Microsoft operating Systems.
