Job summary:

Sales Administrative Assistant assists the Director of Sales and the other sales managers in the handling of accounts. Responsibilities include: answering telephones; processing letters, proposals and contracts accurately and in a timely manner; and maintaining filing, trace and office   services in accordance with normal operating procedures.

 

Essential Job Functions:

ORGANIZATIONAL SCOPE: Supports sales, catering and revenue management team with systems expertise, report generation and data analysis. Interfaces with corporate IT/Sales Systems team members and other internal external resources & vendors. This position has no direct reports.

ESSENTIAL FUNCTIONS:

  1. Assists the Director of Sales and the other sales managers in the handling of accounts. Responsibilities include: answering telephones; processing letters, proposals and contracts accurately and in a timely manner; and maintaining filing, trace and office services in accordance with normal operating procedures.
  2. Assist in organizing Sales Site Inspections and coordinate with Operational Departments.
  3. Provide support to NSA with Sales system monitoring, maintenance and standards compliance. Ensures accuracy of daily input in current sales system, compliance with established MHI operating procedures and provides overall support/coordination with IT and software/application   provider (internal and external resources) for system troubleshooting and upkeep.
  4. Support in the lead administration process to include but not limited to managing the distribution and disposition of incoming leads from all sources, compiling lead status information and communication with Directors/managers on disposition through reports and direct communication.
  5. Assists in team member training on sales systems, applications and other software.

SUPPORTIVE FUNCTIONS:

1) Perform special projects and other responsibilities as assigned. Participate in task forces and committees as requested.

2) Typing, filing, copying, faxing and distribution.

                       

Qualifications Standards:

  1. Education: 4 year college education or equivalent preferred. High school diploma or equivalent required.
  2. Experience: 1 year hotel experience preferred.   One to two years of employment in a related position with this company or other organizations.
  3. Ability to read, write and speak the English Language. Good grammar and spelling skills

 

  1. Ability to perform critical analysis
  2. Must possess strong knowledge and skill with computer hardware, software and related business applications such as Microsoft Office; Delphi, Sihot and Sap knowledge preferred.
  3. Ability to work effectively both independently and as a team
  4. Ability to manage multiple projects, meet and work effectively under time and resource constraints and meet deadlines
  5. Ability to maintain a high level of enthusiasm and professionalism
  6. Be a team player, creative, innovative, flexible and self motivated
